Engaging Networks Academy User Policy

This User Policy covers the security and use of the Engaging Networks Academy https://academy.engagingnetworks.net and is applicable on a worldwide basis.

We want the Engaging Networks Academy to be a positive safe space for clients and business partners to learn how to make the most of the Engaging Networks platform. This means that all users of the Academy are required to agree to abide by this User Policy.

The Academy Access Control – Individual’s Responsibility

Access to the Academy is by request only. All requests for access will be screened and may be denied at the sole discretion of Engaging Networks. Access to the Academy is controlled by the use of User IDs, passwords and/or tokens. All User IDs and passwords are uniquely assigned to named individuals and consequently, individuals are accountable for all actions on the Academy website.

Any breach of this User Policy may result in the suspension of your Academy account. In addition Engaging Networks reserves the right to revoke access to the Academy for any user at any time for any reason.

E-mails

We may send you regular e-mails to help you get the most out of the Academy but only if you have opted in to receive such e-mails. If you no longer want to receive such e-mails from us, please follow the "Unsubscribe" instructions at the end of every email that we send out, or contact us at  [email protected].

If you unsubscribe, we will remove your email address from our Academy Updates list. Please allow us a reasonable period of time to do this, as some promotional campaigns may already be underway. Note that organizations that sponsor or co-host our webinars and events may also receive attendees' contact information. For details on how an event Sponsor may use the information you provide, please contact the Sponsor directly.

Please note that we may still contact you with system emails relating to access to your Academy account whilst you are a member of the academy. If you’d like your access to the Academy to be removed please contact our support team at [email protected]

Data Privacy

The purpose and legal basis for processing your data is to fulfil Engaging Networks contractual agreement with clients and agency partners, to provide support and training services on an ongoing basis and additionally to evaluate our SLA and service levels offered and agreed to in those contractual agreements.

Engaging Networks may extract student data from the Academy for the purpose of data analysis and report generation in third party business intelligence and reporting tools. These third party tools are also subject to Engaging Networks' overall business related data protection and security policies. Academy data analysis and reporting will only be carried out for Contractual or Legitimate interest bases.

The data in the Engaging Networks academy is stored securely and processed in the United States of America, and may be transferred for reporting and analysis purposes to the European Union.

Data Retention

Engaging Networks  will not keep personal data indefinitely. Personal data will be processed only whilst a data subject maintains an active account with the Engaging Networks Academy

Personal data will be processed only to fulfil contractual obligations and for legitimate interest between Engaging Networks and the data subject. 

Personal account data will be deleted, anonymised, or securely destroyed when a user has not logged in for more than 12 months and have 0% progress in any courses, or if they have not logged in for more than 24 months though have made progress in, or completed a training, unless the user explicitly advises that they wish to keep the account open when we contact them before account deletion. Accounts in the academy are reviewed on a 6 monthly basis to identify any dormant accounts.

Dormant account checks are carried out every 6 months. Personal data is deleted within at least 4 weeks of identifying a dormant account.

Personal data is kept only as long as an account is active, and is deleted once an account becomes dormant.

No special category or criminal offence data is collected or processed by the Academy

All electronically stored personal data will be removed from the Academy upon account closure, no physical or paper records are generated by the Academy, in the event of any physical or paper records existing relating to the Academy these would be destroyed through secure shredding and destruction in line with Engaging Networks overall business related data protection and security policies. 

Thinkific performs daily backups and replication of its databases across distributed zones and supports restore capability to protect the availability of Thinkific’s platform in the event of a site disaster affecting any of these locations. Full backups are saved at least once per day and transactions are saved continuously. Personal data removed from Thinkific will therefore take up to 24 hours to also be removed from any backups.

Dormant accounts will be sent an email advising they have 7 days to log in or inform us they wish to keep their account open otherwise we will close their Academy account and remove all their data from the Academy. 

If we have not received a reply by the end of the 7 day period we will remove their account and their associated data in its entirety from the Academy if they haven’t logged in or otherwise contacted us to say they want to keep their account.

Where Engaging Networks can determine itself that an account is no longer being used the account will be removed without notification (i.e. organisational leavers)

Once an account is deleted from the Academy we cannot restore any information or re-activate related to the deleted account and users will need to re-register and start their progress from scratch if they wish to start using the Academy again.

Your use of an external website or any informational content found on an external website is subject to and governed by the terms and conditions of such website. Engaging Networks does not endorse or make any representations or warranties concerning, and will not in any way be liable for, any informational content, products, services, software, or other materials available on an external website, even if one or more pages of the external website are framed within a page of Engaging Networks' website. Engaging Networks is not responsible for the privacy practices of any external websites.

Notification of changes

If we make any changes to this user policy, we will notify our members and users via email or by posting the changes on our website. We reserve the right to modify this user policy at any time, so please review it frequently. Any amended user policy will apply to personal information previously collected. If at any point we decide to use personally identifiable information in a manner different from that stated at the time it was collected, we will notify users by way of an email.
